Before the Event Day
All meetings on the draft agenda have been arranged with delegates you indicated an interest in and who all mutually expressed an interest in your proposition.
To prepare, we strongly recommend reviewing the DTL (Decision-maker Target List), which includes key sales intelligence and insights into each delegate’s priorities. This information can be invaluable, helping you tailor your conversations and demonstrate a strong understanding of their specific needs and challenges to ultimately showcase how you can provide value with your solutions.
Once your representatives for the event are confirmed, please let us know as we can ensure they’re included in all program day updates and also arrange a pre-event briefing call to walk through tips and strategies for the day if that is of interest.
We advise that your representatives keep their schedules flexible between 8:30am and 2:00pm, as minor timing changes may occur due to unforeseen circumstances. For optimal meeting arrangement, we recommend having no more than 1–2 representatives per meeting to avoid overwhelming the attending delegate.
Meeting Approach
The Decision Makers you’ll be meeting with are seasoned, well-versed buyers. Despite their specific interest in your solution and company profile, it’s essential to recognize that they will still need to be persuaded and convinced.
The 20-minute exploratory sessions, aim to build a deeper understanding by engaging with the delegates. By building rapport you will be able to uncover the delegate’s key needs and better highlight the value you can deliver.
Even though delegates will have reviewed your company profile in advance, your representatives should treat each meeting as a fresh opportunity to introduce your solution. Rather than starting with inquiries like, “Why do you want to meet us, what do you know about us?” approach these meetings as if you’re making a blind pitch. This sets the tone for a confident, engaging conversation.
Keep in mind that delegates might also be juggling other projects or engaging with competitors. Therefore, it’s crucial to clearly articulate your Unique Selling Points (USPs) and how they give delegates a competitive advantage.
Approach these meetings as initial qualification conversations with a clear objective: securing a follow-up or discovery meeting.
On the Event Day
Your Event Day Account Manager will share the finalized agenda with you and your confirmed representatives by 8:00am on the day. This agenda will reflect accurate meeting times and embedded Zoom links.
Please use this updated agenda to attend all scheduled meetings. Your account manager will also email you with any updates or changes throughout the day so we recommend keeping an eye on your inbox.
At the scheduled time, simply click the Zoom link. You will be placed into a Zoom waiting room where the meeting host will let you in. The host is a member of our team who is there to assist in case of any technical issues.
Once both parties have joined, the host will offer a brief introduction, then switch off their camera and microphone so you can proceed with the discussion. They will also leave a 5-minute warning in the chat toward the end of the meeting.
During the discussion, use relevant case studies of successful projects you have completed with similar companies. Avoid generic demo/sales pitch and don’t use PowerPoints. You can share your screen briefly if you have useful visual resources that will add value.
Within 24 hours of the program, you’ll receive the contact details of all delegates who expressed interest in your company during our pre-event process – including both mutual and non-mutual leads – so you and your team can follow up after the event and explore this additional outreach.

Meetings are subject to change on the day of the event, as occasionally there may be last minute emergencies or scheduling clashes faced by the delegates. If this happens we have a dedicated rescheduling team who will be working to secure additional availability from the delegate and reschedule the meeting to a time that suits both parties.
Our delegates will follow a slightly different schedule, attending Roundtable discussions in addition to one-on-one meetings. These sessions allow them to connect with other C-level peers to discuss shared challenges.
